Reconciling a Bank or Charge Account

All the items that are displayed have yet to be checked off against any statement sent to you by the Bank/Charge company.

 

Occasionally you may find that you have one or two old items stretching back into last year. Don't worry, this is not a problem for the system.

 

When you receive a statement, just follow this sequence:

 

1.        Pull out the previous statement and check that the closing balance is the same as the opening balance on the new statement, and the same as that showing on the first line of this display.

 

If it is not then you should read the suggestions for Getting the correct opening balance. You should find out why there is a discrepancy in the opening balance before checking the individual items on the current statement.

 

2.        Check the number of the previous statement and make sure you allocate the next sequential number to the new statement.

 

Remember that since the system treats this year and last year as a single period, you should not use a duplicate statement number for any specific account in two consecutive years.

 

3.        With the new statement in front of you, start at the first entry on the statement and look for the same amount in this display.

 

(Unless you have selected Bank format in Menu|Options|A/c Format, amounts appearing in the left hand column of the Bank statement appear in the right hand column in your accounts, and vice versa.)

 

When you find the matching amount in your display, either double click on that line or select that line and click TickTick-Off button.

 

The first time you do this the system will ask you for the current statement number. (In fact, the number shown will probably be the one that you have just allocated.) Confirm the number to the system, and you will see that number appear in the left hand column of the item that was highlighted.

 

Repeat checking off each item on the statement until there are no more items to be checked.

 

4.        Whenever you find an item on the statement that does not match an item in your records, you will need to update your records using ChangeItem Change Item or AddItem Add Item functions.

 

The normal reasons for such discrepancies are:

 

 -        you have forgotten to enter an item.

 -        you have entered an amount incorrectly.

 -        you haven't recorded a Bank charge.

 

It is rare for the Bank or Charge company to make an incorrect entry on your statement. However it can happen.

 

5.        When you have checked off all items on the statement, then click the Statement tab. The first time you click this tab, you will see the latest statement, ie the items you have just ticked.

 

A quick check that the closing balance displayed is the same as the closing balance on the statement itself, will tell you that you have successfully checked off all items on the statement.

 

StmtControls The statement controls let you select a specific statement for display, to change the opening balance and to specify whether the opening balance is in credit or overdrawn.

 

Click Newstmtto display the statement you have selected.

 

Subsequent clicks of the statement tab will always display the last statement requested.

 

If you have included any item in this statement incorrectly, then use UnTick Un-Tick function to remove it from the statement display.

 

If you need to correct an item in this statement display, then use ChangeItem Change Item function.

 

If you need to include an additional item in the statement, click first to the Unreconciled items tab to see if you have already recorded but failed to Tick-Off this item. Otherwise you should now add this item.

 

Having followed these procedures, you will reach the point where you are sure that your records agree with the records of the Bank or Charge company.
